–Shipping Services–
Shipping Services Procedure
The Sales Department must send the pick-up plan to the Shipping Department one day in advance. The Shipping Department is responsible for arranging the shipment, including chartering ships. Domestic customers are required to coordinate their pick-up plans within 24 hours, while export goods must have a booking arranged within the same timeframe. The Shipping Department will then provide the shipping details back to the customers.
In accordance with national environmental protection policies, the Shipping Department must arrange vehicles for short-distance transportation. All arranged vehicles must comply with these national environmental regulations, and the vehicle information must be communicated promptly to the Sales Department.
Prior to loading, the warehouse custodian is responsible for inspecting the transportation vehicles to ensure they meet company policy and regulations. The vehicles arranged must be clean, free of pollution, and have protective coverings, such as fabric, placed on the bottom and around the vehicle’s interior. After loading, the vehicles must be securely tarped to prevent any water contamination.
Warehouse managers must register the batch and flow of goods to facilitate product tracking.
Upon the arrival of transportation vehicles at the port, contact the company’s contracted freight forwarder. The freight forwarder will arrange for loading based on the chartering and booking information provided.
Before loading, the freight forwarder must ensure that containers are intact, clean, and free of pollution. Throughout the packaging process, oversight must be maintained to verify quantities and document the packaging process with photographs or video for customer tracking purposes.
Once loading is complete, the containers must be sealed, and the container numbers along with seal numbers need to be recorded and kept safe. The freight forwarder must also sign and stamp the documentation, which is then handed over to the driver. The driver must present the freight forwarder’s signed and stamped delivery note back to the Shipping Department to facilitate freight payment settlement.
–Product Quality Monitoring–
To ensure the utmost quality of raw materials upon arrival at our facility, we will strictly adhere to the following procedures. The procurement of raw materials will be based on national standards and relevant quality certification system documents. Only those materials that pass our quality inspection will be permitted to enter our inventory. Any raw materials that do not meet the required standards will be strictly prohibited from storage. In such cases, the supplier will be responsible for either returning the substandard materials or providing replacements.
Level 1 Monitoring: Production Process Monitoring At the first level of monitoring, we focus on the real-time oversight of the production process. This involves random sampling from the unloading point every 30 minutes. Each sample will be tested according to our internal control standards to ensure compliance with quality benchmarks. The key steps for Level 1 Monitoring include: 1. Random Sampling: Designate personnel responsible for collecting samples at the unloading point every 30 minutes. This ensures an unbiased representation of the product quality throughout the production cycle. 2. Testing Protocol: Implement testing methodologies that align with our internal control standards. This includes rigorous checks for consistency, purity, and other relevant quality indicators. 3. Real-Time Reporting: Once the samples are tested, results are promptly communicated to the central control room. This real-time reporting mechanism allows for immediate awareness of any quality issues that may arise. 4. Process Optimization: Based on the test results received, adjustments to the manufacturing process can be initiated. This could involve recalibrating equipment, modifying raw material inputs, or refining production techniques to enhance overall product quality. Through this structured approach, Level 1 Monitoring aims to maintain high product standards and facilitate continuous improvement in the production process. The proactive management of quality will help in minimizing defects and ensuring customer satisfaction.
Before storage and warehousing of products, a comprehensive sampling of 10% of the total production quantity should be conducted. This sampling will help determine the quality grade of the products. Only after this assessment is completed will the products be officially entered into the warehouse.
1. Random Selection: From the total inventory, randomly select 5% of the products for inspection. This sampling method helps in obtaining a fair representation of the batch. 2. Documentation: Each sampled product must be documented, including the batch number, to ensure traceability. It is crucial to maintain a record of these samples for quality assurance and potential follow-up. 3. Quality Check: Inspect the selected samples for quality metrics including functionality, appearance, and adherence to specifications. Any defects or deviations from standards must be recorded. 4. Retention of Samples: After inspection, retain the samples along with their batch numbers in a secure location for future reference. This allows for efficient tracking of product quality over time. 5. Reporting: After the inspection is completed, compile a report detailing the outcomes. This report should include the number of products sampled, the inspection results, and any corrective actions taken for defective items. This procedure ensures that only products meeting quality standards are dispatched, thus reinforcing the reliability and reputation of our brand.
